7 places to stay off the sauce if reporters are present

Just look at what happened to Gen. Stanley McChrystal, who was dumb enough to let an investigative  freelancer for Rolling Stone into his inner circle and conduct a tape-recorded interview—over drinks.
   
Never, ever drink while interviewing with a reporter. That’s a lesson in Interviewing 101 and keeping the media wolves at bay.

But you need to be on your guard even if you aren’t being interviewed, and booze and reporters are present.  Many people incorrectly assume that if they don’t see a reporter scribbling in a notebook, the interview, or anything they say, is off the record.  Assume that everything you say in front of journalists is on the record, or don’t say it.

Loose lips sink ships.

Here are seven situations when you must stay away from reporters if you’re drinking, or stay away from alcohol if you’re talking to anyone in the media.


1. After-work networking events
The  media sometimes attend these events, often hosted by the local chamber of commerce. Smart reporters know how to make nice with you and get you talking. If you aren’t holding a drink in your hand, and you’re busy prattling on about your business, they can slyly lead you to the bar and offer you a drink.
    

2. Events hosted by the media
Business journals and other business magazines generate a large portion of their revenue from these events, and reporters and editors are everywhere. It’s a great chance to schmooze with the media, but only if you aren’t drinking.
  

3.  Local and national Press Club dinners and special events
Reporters and editors have a well-deserved reputation for boozing it up at Press Club dinners and awards ceremonies.  I recommend that anyone who wants publicity consider attending these events, often open to the public,  because you can establish valuable relationships with the media—sober.
  

4.  Trade shows
If you’re attending a trade show, you should do your homework and touch base with reporters who you know will be at the show so you can meet them for coffee, offer your expertise and find out what they need from you. Beware, however, of evening cocktail parties hosted by the trade show’s sponsor, where food and booze are plentiful.
  

5. Conferences and conventions the media cover

Opportunities abound for getting into trouble, from sitting next to a reporter during dinner to joining a group of people that includes journalists at a local tavern, at the end of the day.
     
    
6.  Fund-raisers and black-tie dinners
Reporters sometimes attend these dinners to cover them,  and newspaper and magazine executives often attend them as guests.
     
    
7.  The “lunch” or “dinner” interview.
If reporters want to interview you over lunch or dinner, that’s usually OK. And if they want to drink, that’s their choice. But don’t even think of having just a half glass of wine. You must be at the top of your game, on point, and coherent.

Meeting a journalist? 9 magic phrases the media love

One of the best ways to generate publicity from traditional media outlets is to form a relationship with reporters, editors, broadcasters and freelancers.

That’s a critical step that 99 percent of the people miss!

And what a shame. If you know what they’re looking for, how to talk to them, how to help them, and how to stay on their radar screens, you’ll have a huge advantage.

When I worked as a reporter and editor for 22 years, I was able to tell within about 15 seconds if somebody pitching a story idea was genuinely concerned about helping me, or if their Number One goal was to simply generate free publicity.

If you’re meeting reporters face to face, or pitching an idea by phone or email, nine magic phrases can help you build a relationship with them. Media interview? How to deal with a confused journalist

confused man with raised eyebrows2You’re being interviewed by a magazine reporter who clearly doesn’t understand the topic, despite your best efforts to explain it over and over again.

What do you do?

That’s what a graduate of The Publicity Hound Mentor Program asked me just now.

“A staffer recently did repeated interviews with a magazine writer, and sent follow-up emails for clarification, but the information still came out wrong in the article. What’s the best wording to use these days when you want to see what the reporter has drafted before it goes out? I realize that most reporters will at least read you back your quotes.”

Here’s what I told her:

When you’re being interviewed either by phone or in person, and you can tell that the reporter is becoming more and more confused, ask, ”I want to make sure I’m explaining this clearly enough and not confusing you.  Can you explain to me your understanding of this topic?”

If the reporter can’t explain it, he’s confused. If he insists on writing the article anyway, ask him to call you before the article appears to “fact check” it. Many reporters don’t know what a “fact check” entails because they work for publications that don’t routinely do fact-checking.

Big magazines check facts, however. A fact checker, who usually is not the same person who wrote the article, calls you, reads the facts to you, and verifies that they are accurate. If a fact is wrong, you can correct the record before the story appears. Sometimes a fact-check includes your direct quotes.


When the reporter won’t cooperate

If a reporter will not agree to do a fact check, don’t be afraid to take the next step. Call the reporter’s boss and explain that you’re convinced the reporter is confused. And then ask, “What can we do so that you get your story and your readers get accurate information? I don’t want your readers to be confused. I also don’t want to be misquoted. And I’m sure you don’t want to be in the embarrassing position of having to run a correction because your reporter printed something that was inaccurate.”

That should solve the problem. The editor might kill the story. Or she might quiz the reporter herself. Or she might make sure SHE’S the one who edits the story and is convinced the reporter understands what he’s writing.

If the topic isn’t confusing and you’re confident the reporter understands it well enough, you can still ask the reporter for a fact-check and to call you and read back to you only information that will be put into quotation marks.

When I worked as a reporter and sources asked me to do this, I almost always agreed. But I made it clear that if they decided that they didn’t like the way their quotes sounded, they didn’t have the right to change them. I would reword a quote only if I didn’t write it down accurately.


More ways to help reporters

You can also help a reporter better understand a complicated issue by supplying supporting data such as reports or other media articles, or blog posts you’ve written. You can offer statistics such as pie charts, bar charts and graphics. You can provide links to other online resources that clearly explain the issue.

Record the interview

When I interviewed crisis counselor Jonathan Bernstein on how to keep the media wolves at bay, he mentioned that if the topic of an interview is sensitive, you can always tell the journalist you want to record it. If the journalist knows you have a recording,  they’ll go the extra mile to make sure they quote you accurately.

And, yes, they get to record it, too. That’s only fair.  Check the laws governning recording phone conversations in your own state or country.
